High-density event Wi-Fi

Conferences, weddings, expos, product launches. High concurrent connection capacity without bottlenecks. Deployment in 24 hours, on-site technician during the event, takedown included.

Why it's hard

A thousand people in one room.

Event Wi-Fi is probably the most complex challenge in our line of work. When 1,000 people gather in one space with 2-3 devices each (phone, smartwatch, sometimes laptop), you end up with 2,000–3,000 devices all trying to connect at the same time.

Standard home or office Wi-Fi blows up immediately. You need a high-density design: many low-power APs rather than a few powerful ones (to avoid interference), dominant 5 GHz and 6 GHz bands (for capacity), smart channel allocation, and real-time monitoring throughout the event.

Without experience, it's easy to fall into the "I'll bring 5 Bell routers and that'll do" trap. It doesn't work — we've seen too many weddings and conferences turn into a disaster.

Event types

  • Conferences & congresses 100-2000 attendees
  • Weddings & galas 100-500 guests
  • Expos & trade shows with connected exhibitors
  • Festivals and outdoor events
  • Product launches with live demos
  • Shoots requiring real-time upload
Our process

From the request to the event.

1. Briefing (D-30)

We understand the event: size, venue, type of activities (live stream? POS terminals? sponsor captive portal?).

2. Site visit (D-21)

We come measure, identify constraints (load-bearing walls, interference sources), plan AP locations.

3. Network design (D-14)

Detailed plan with number of APs, types, required switches, power. Fixed quote.

4. Installation (D-1 or D)

Setup in 4-12 hours depending on size. Systematic testing. Captive portal in the event's branding.

5. During the event

Dedicated on-site technician, real-time monitoring, maximum responsiveness.

6. Takedown (D+1)

We leave with everything. Venue clean, ready for the next event.

Capabilities

What we can do.

  • Branded captive portal in the event/sponsor colours. Lead capture + analytics.
  • Live streaming for conferences broadcast on YouTube/Twitch/Zoom Webinars.
  • POS payment for food kiosks or on-site vendors. PCI compliance.
  • Interactive voting via app during panels and keynotes.
  • 4G/5G backup in case the venue's Internet goes down.
  • Separate VLANs: organizers, exhibitors, public — priorities defined per project.

Pricing

Costs vary based on several factors:

  • Expected number of attendees
  • Venue area and layout
  • Type of usage (streaming, POS, captive portal)
  • Event duration and on-site presence
  • Recurring rates for annual events

Is your event coming up?

We can step in on as little as 7 days' notice for small events. The bigger it is, the more planning it needs.
